# When to send a screen recording instead of scheduling a meeting

Use this simple decision framework to choose between an async screen recording, a written message, and a live meeting, and save your team time.

Async video is powerful because it preserves two things written messages often lose: visual context and tone. It is not a replacement for every meeting.

## Send a video when the screen is part of the answer

A recording is ideal for product feedback, design review, bug reports, walkthroughs, and status updates with visual evidence. If you would need five screenshots and several paragraphs, a two-minute recording is usually clearer.

## Write when the message must be scanned

Dates, decisions, ownership, and short requests belong in text. Your teammate should not need to scrub through a video to discover a deadline. Pair a recording with a one-sentence summary and an explicit request.

## Meet when the value is in the conversation

Use a live meeting for negotiation, sensitive feedback, open-ended discovery, and decisions that require rapid back-and-forth. Recording a monologue is not collaboration.

## Respect the viewer’s time

Name the video clearly, lead with the outcome, and remove dead time. A good async video creates less work for the viewer than the meeting it replaces.
